Custom tools for small nonprofits in Morris County
Right now, your work is scattered everywhere. Let's bring it all into one place. Less admin, more mission.
I build custom tools around the way your team already works, so the busywork runs itself and your people get their time back for the mission. Plain English, fixed prices, and no IT person needed.
Texts come straight to my phone.
Before: admin chores scattered across inboxes, spreadsheets, sticky notes and paper. After: one back office where expenses, grants, volunteers, community, board, minutes, website and data are all handled, giving the team more time for its mission.
Name the chore. I'll handle the fix.
In most small nonprofits, the person updating the website is also paying the bills and planning the spring fundraiser. Nothing I build is off the shelf. I start from how your team works today and build tools that fit it. Here's what that usually looks like.
Your website
Where everything connects
Your website is often the first place donors, volunteers and neighbors meet you. I build clear sites your team can update without calling anyone, and connect them to everything behind the scenes.
- Donations, volunteer sign-ups and event registration built in
- News, programs and newsletters you can update in minutes
- Forms that feed straight into your other systems
Finances
Before: Receipts in four inboxes and books rebuilt by hand every month
Handled: Expenses come in through one form, reports are ready for every board meeting, and your treasurer gets their evenings back
Volunteers and staff
Before: Chasing volunteers by text to fill Saturday's shifts
Handled: One sign-up link, and reminders go out automatically, so your coordinator stops texting on Friday nights More about volunteer scheduling
Donors
Before: Thank-you notes weeks late, with gift records in three places
Handled: Thank-yous drafted the same day for you to read and send, so donors hear from you while the gift still feels fresh More about donor thank-yous
Board
Before: The board packet takes two days to assemble
Handled: The numbers pull in automatically, so you write the story and the meeting can focus on the mission
Equipment
Before: Nobody is sure what's available or who has it
Handled: A live list with simple check-out and return reminders
Files and grants
Before: Documents scattered across personal drives, and grant numbers pulled at the last minute
Handled: Paperwork that files itself, searchable and backed up, so the numbers for your next grant report are already there
Everyday questions
Before: Answering the same questions over and over
Handled: Common questions get answered right away, and the rest reach you sorted, so your team spends that time with the people you serve
Your version will look different, and that's the point. For a food pantry it might be intake and inventory. For an arts group, ticketing and grant reports. For a youth league, registrations and volunteer coaches. Tell me what's hard, and we'll start there.
How many hours could your team get back?
Check the chores that eat your team's week, and adjust roughly how many hours each one takes.
A rough estimate to start the conversation. Your one-page plan gives you the real number.
Here's exactly how it works
Automating a messy process just gives you a faster mess, so we fix the process first. Every step has a clear price, and you always know what happens next.
We chat for 30 minutes
FreeTell me what's hard. I'll ask about your week, your tools and what you'd love to stop doing. We can meet in person, by phone or by video, whatever's easiest.
You get a one‑page plan
FreeWe map how the work happens today and simplify it. Then I write down what I'd fix first, how long it takes and exactly what it costs, on one page you can hand to your board.
I build it, you check it
Fixed price, from $1,000I build in stages and train your team as we go. Anything that goes out in your name, you read first. You also get a plain-English handover guide, and if anything I built breaks in the first 90 days, I fix it free.
Optional: new features
$500 a month, if you want itEverything I build runs on its own. If you'd like me to keep adding features and upgrades as you grow, I'm here. Cancel anytime.
Start with one chore. You don't have to change everything at once. Most teams start with the thing that drives them craziest and grow from there.
Grants can often pay for this. Many foundations fund "capacity building" projects like these. I'll help you describe the work and its impact for a funding request.
Built to give people time back, not to replace them.
Your people are the mission. The admin isn't. Everything I build takes the repetitive work off their plates, so they can spend more time with the clients, volunteers and donors who need them. Here's what I promise every organization I work with.
You'll read it before it goes out
AI helps. A person checks it. AI helpers draft, sort and remind, and anything sent in your organization's name gets checked by a person on your team.
Your data stays yours
Donor, member and financial information stays in accounts your organization controls, with access set up carefully.
You own everything I build
Websites, accounts and workflows belong to your organization. Everything runs on its own, with a handover guide anyone can follow, so you never need an IT person to keep it going. That includes me.
Plain English, always
If it needs a glossary, I rewrite it. And if something doesn't need AI, I'll tell you.

Hi, I'm Russ
I've spent more than 20 years in technology and business operations, and I live right here in Morris County.
When I started volunteering with Mendham TV, I saw a dedicated team spending too much of its energy just keeping the lights on. So I started building: a treasury that runs itself, equipment check-out, a media archive and a back end for the board. Hours that used to go to admin went back to the mission.
That's what I do now. I sit down with nonprofit leaders, find the chores eating their week, and build websites and systems that fit their people, their budget and their mission.
I answer my own phone, I'll come to your office (or we can talk by phone or video), and I explain everything in plain English. The price we agree on is the price you pay.

Questions people ask
What does it cost?
The first chat is free, and so is the one-page plan. Builds are a fixed price, starting at $1,000 for a first system. Once it's built, it runs on its own. If you'd like me to keep adding features and upgrades, optional support is $500 a month, and you can cancel anytime. You'll know exactly what it costs before any work starts.
How long does it take?
It depends on what we're building, and you'll know before we start. Your one-page plan spells out the timeline step by step, and I build in stages so you see progress along the way.
Will this work for our kind of nonprofit?
Yes. Every nonprofit has its own version of the same chores: money to track, people to coordinate, records to keep and a board to support. Everything is built around your work, whatever it is.
Is this off-the-shelf software?
No. Everything is built around how your team already works. When a good existing tool fits, I'll set it up and connect it rather than reinvent it, because the goal is saving you time and money, not building for the sake of building.
Can you build or redo our website?
Yes. I can build a new site or rework the one you have, and connect it to everything else so donations, sign-ups and questions go exactly where they need to.
Do we need IT staff to run this?
No. Everything is built for the people you already have, including volunteers. I train your team and leave a plain-English handover guide.
Do we need you after it's built?
No. Everything I build is designed to run on its own, and if anything I built breaks in the first 90 days, I fix it free. Optional support is there if you want new features or upgrades later.
Will this replace our staff or volunteers?
No. The tools take over the repetitive parts so your people can spend more time on the work only people can do. Nothing goes out in your name without a person reading it.
What happens when our volunteer moves on?
Every system comes with a plain-English handover guide, and I'll train whoever takes over. Nothing depends on one person's memory, including mine.
Can we use grant money for this?
Often, yes. Many foundations fund capacity-building projects like these. I can help you describe the work and its impact for a proposal or report.
Is our donor and financial information safe?
Your information stays in accounts your organization owns and controls. I set up access carefully and show you exactly where your data lives and who can see it.
